Group Communication Management  Group communication = Group Decision Making  is of crucial importance for the process of group document writing 4 Group Communication Model Four necessary functions to reach the goal set by the group: I. Identification/analysis of the Problem II. Goal Setting III. Identification and Analysis of Alternatives IV. Evaluating Alternatives (advantages and disadvantages) 5 Analysis of the Problem/Analysis of the Task  “What calls for improvement or change?  Acknowledge the existence of the common problem  Avoid making individual agendas 6

Separate Symptoms from a Problem  Use Symptoms to Define the Problem  Analyze the Problem to Find Out its Causes  5 key questions: – Who has the problem? – Where does the problem take place? – When does the problem take place? – What turns the situation into a problem? – How does the problem influence individuals? 7 Symptom Symptom Symptom Symptom Problem Problem Problem Cause 8 Process of Group Writing  Problem = the goal of writing a document  “Why should we create this document in writing?”  “What kind of a document do we need to create?”
  4.  Use 5 key questions 9 5 key questions: 1. Who will use this document? 2. Where will this document be used? 3. When will this document be used? 4. What will motivate for this document to be used? 5. How will this document be used? 10 Goal Setting Define short-term and long-term objectives Determine:  what kind of goals will be  who will be engaged  when these goals should be reached  what the criteria of the goal setting  how to measure the success 11 Goal Setting: The Group should  Come to an agreement
  5.  Define clear unambiguous criteria  Be concrete  Write down objectives and criteria  Appoint a facilitator 12 Group Writing Process  Determine goals and assessment criteria  Coordinate the task with goals  Analyze: – Which tasks should be done? – Who is doing every task? – When should the tasks be done? – Which criteria show the job completion? – How will the success be estimated? 13 Identification of Alternatives Creating Alternative Plans:  Determine the ultimate goal;  Determine secondary goals  Make up a goal-oriented graph;  Develop alternative graphs/secondary goals
  6.  Define the priority of the alternative graphs 14 Identification of Alternatives  Foresee the problems;  Goals = ultimate/general purpose must be reached by all means  Apply the criteria to select the alternatives 15 Identification of Alternatives: Group Writing  Alternatives = type of the document;  Alternatives = what can be omitted  Determine the ‘core’ information 16 Evaluation of Positive and Negative The Group has to  rank the alternatives;  list all alternative strategies;  enumerate positive and negative aspects of
