HIGHLIGHTS OF PROPOSAL Premises: Commencement Date: Term: Management Fee: Insurance Coverage: Termination: (Name of Property) (Address of Property) The Commencement Date shall be (Start Date) (or as required). The Term of the Management Agreement shall be Two (2) YEAR from the Commencement Date. Commercial Properties / Residential Properties 5% of the gross monthly revenues. Low cost insurance coverage as a part of the company program policy may be 30-45% lower than individual rates. The Client shall have the option of terminating the contract with Sixty (60) DAYS WRITTEN NOTICE to the Management Company. Additional Charges: Photocopying Services: Mail outs, such as Notices, Rental Increases, and Assessment letters Delivery Charges: Mail outs as above and Courier Services. Administration Charges: Advertising, long distance charges, credit and reference checks. All costs to be at market rates plus GST with no additional mark up. Confidentiality: All parties acknowledge that the financial terms of this proposal and the contents hereof are strictly confidential and covenants not to disclose or allow disclosure of the same to any third party. Property Management Proposal 1 Range of Services: Management and Administration of: a) Provide active leasing program in order to fully lease/rent the property. b) Provide active supervision of Caretakers and all site staff. c) Lawn and general grounds maintenance d) Cleaning, painting, staining and general maintenance and repair of the property e) Snow removal: Cleaning and maintenance of roadways, curbs and sidewalks, and conducting regular and frequent inspections to ensure delivery of these services f) All contracts approved by the Landlord/Owner g) Sending out delinquency notices for rent arrears as follows: i. 1 Day in Arrears, A personal telephone call or personal contact is made to the tenant. ii. 2 Days in Arrears, a reminder notice is sent to the tenant. iii. 3 Days in Arrears, an eviction notice is delivered to the tenant and late fees are applied. iv. At the end of the eviction period, legal proceedings commence to remove the tenant permanently from the premises. Files are then listed with a third party collection agency and an R9 rating is posted on Equifax. v. Commercial tenants in arrears will have their locks change or legal actions will commence to secure all arrears. ESQUIRE MANAGEMENT GROUP IS A LEADER IN THE FIELD OF ASSET MANAGEMENT You will have complete control over your financial affairs. We will collect all rents and security deposits and deposit them directly into a trust account(s) set up in the name of the Landlord. All expenditures in excess of $200.00 will be discussed with the Landlord, prior to the Property Manager making a commitment for provision of services. Property Management Proposal 2 Property Management Proposal 3 Operating Analysis and Management: Esquire Management Group can provide you with financial planning and analysis. Projections of cash flow expenditures are done to optimise the condition of your property throughout its maintenance cycle. Clients can benefit from thorough analysis of the marketing, operating, financing and life cycle re-capitalization needs of a property. As a client of Esquire Management Group, this service is provided for a minimal charge. Financial Statements: We will assist you in managing the financial affairs of your property by providing monthly financial statements. These statements will show how your current month’s income and expenses compare to your annual budget. This information will allow you to monitor expenditures to ensure that your budget plan is followed. It will also provide you with warning signals if certain expenses are being incurred faster than anticipated and have a potential of exceeding what was budgeted. The financial statements will be completed within fifteen (15) working days of the end of the month and distributed to the Landlord along with the Property Manager’s monthly overview. Budgets: Esquire Management Group will work with you to develop annual budgets that will enable you to meet your annual operating and capital needs. This means that you, as a Landlord, will not be faced with unnecessary surprises throughout the year. We involve you in the budgeting process and have developed a simple step-by-step process to develop your financial plan. Collection of Arrears: We will contact tenants who are in arrears, personally, by phone, and/or by letter. Our arrears collection system will automatically charge late charges on all overdue accounts. Renters who leave without paying their rent will be registered with the Credit Bureau (Equifax) and appropriate collection action and/or legal proceedings will be pursued on the direction of the Landlord. We have negotiated with the Bank to receive interest on the average daily balance on your accounts. This means you will receive a greater return on your investments. Commercial tenants in arrears will have their locks change or legal actions will commence to secure all arrears. Good communication is essential! We will provide information to new tenants as it relates to operations and policies specifically tailored for your property. It will also include information on how to handle emergencies. We have developed specific guidelines for our Property Managers to assist in monitoring your property. To ensure your expectations are met, we will conduct frequent site inspections. All resulting issues will be addressed with the Landlord. All contract specifications will be observed and monitored to ensure that what is agreed to and expected is delivered. Property Management Proposal 4 ESQUIRE MANAGEMENT GROUP WILL PROVIDE Administrative Services: ∗ advise, negotiate with and engage the services of contractors and insurance companies ∗ remove and discharge any lien resulting from contractual work ∗ evaluate and recommend purchases of equipment, material and supplies required for regular maintenance ∗ provide an emergency service telephone number and immediate response to emergencies, assessing and supervising any required repairs ∗ provide a minimum of 2 site visits per month ∗ maintain an up-to-date list of all tenants ∗ provide statistical information required by the Government ∗ provide bonding of all employees Financial Services: ∗ Monthly accounting is provided by Simply AccountingÔ software ∗ prepare the annual operating and capital budgets ∗ collect all rents and fees assessed for the Landlord and disburse all debts, providing a detailed account of all transactions ∗ assist in annual audit by providing access to and explanation of all accounts ∗ provide administration and accounting for Security Deposits as required by Government regulation ∗ render any final accounting required and provide pre-authorized debits and funds transfers ESQUIRE MANAGEMENT GROUP RESPONDS QUICKLY TO PROBLEMS Esquire Management Group will provide a 24-hour answering service. ADDITIONAL SERVICES AT NO CHARGE TO YOU Monthly Manager`s Report: The Property Manager will provide an overview for the Landlord each month. This report will outline the services and work done on the site during that period and update the Landlord on ongoing contracts, concerns and leasing activity. Contractor Relationship: Esquire Management Group will work at all times to develop partnerships with contractors to facilitate good relationships between the contractor, the Landlord and the Management Company.
